Privacy Policy

The short version We collect what we need to run the service for you. We don't sell your data, ever. We don't share it with advertisers. Your driver records, load history, and customer info belong to you — we just store and process them on your behalf.

1. Who we are

HaulSharp is a software-as-a-service platform operated by Haul Sharp LLC, an Oregon limited liability company. Our principal place of business is in Bend, Oregon. Reach us at hello@haulsharp.com.

2. What we collect

We collect three categories of data:

Account data — your name, email address, company name, and password (hashed). We need this to give you access to the service.
Operational data you upload — drivers, trucks, loads, customers, invoices, time records, compliance documents, and similar business records that you put into the platform. This is yours; we store and process it for you.
Usage data — what features you use, when you log in, error reports, and similar telemetry. We use this to fix bugs and improve the product.

3. What we don't collect

We don't track you across other websites.
We don't sell your data to anyone, ever.
We don't share your customer list, driver list, or load history with third parties for advertising or marketing.
We don't use your data to train AI models that benefit other customers — Roy operates only on your tenant's data.

4. How we use your data

To provide the HaulSharp service to your fleet.
To communicate with you about your account, billing, and product updates.
To respond to support requests.
To comply with legal obligations (tax records, audit cooperation, etc.).
To improve the product (aggregate, de-identified analytics only).

5. Subprocessors

We use a small number of trusted vendors to run the service. Each is contractually bound to handle your data with the same care we do.

Supabase — database, authentication, file storage (US-based, AWS infrastructure)
Anthropic — AI inference for Roy (only the prompts you send Roy go to Anthropic; Anthropic does not retain or train on this data per their API terms)
Stripe — payment processing for your HaulSharp subscription
SendGrid — transactional email delivery
Netlify / Cloudflare — web hosting and CDN

6. How we protect your data

Encryption in transit (TLS 1.2+) and at rest.
Row-level security in our database — every query is scoped to your tenant. No customer can ever see another customer's data.
Daily automated backups, retained for 30 days.
Audit logs on financial and compliance data — every change is tracked.
Multi-factor authentication available on all accounts.

7. Your rights

You can:

Access — export all your data as CSV from your account at any time.
Correct — edit any record in your account.
Delete — close your account and we'll delete your data within 30 days. Some records may be retained longer if required by law (tax records, e.g.).
Object / restrict — email hello@haulsharp.com with any concern and we'll work with you.

8. CCPA / state privacy rights

If you're a California resident, you have the right to know what personal data we hold about you, request deletion, and opt out of sale (we don't sell data, so this is automatic). The same rights apply if you're in Oregon, Colorado, Connecticut, Virginia, or Utah under their respective state privacy laws. Email hello@haulsharp.com to exercise any of these rights.

9. International users

HaulSharp is operated from the United States. Data is stored in US-based data centers. If you're outside the US and you use the service, your data will be transferred to and processed in the US.

10. Children

HaulSharp is not intended for users under 18. We don't knowingly collect data from children.

11. Changes to this policy

We'll update this page if anything material changes, and notify you by email at least 30 days before the change takes effect.
